Privacy policy
Soustation helps caterers run their jobs, prep sheets, deliveries and invoices. This page explains what we store, why, and who else sees it. In short: we keep what you put in so the app works, we don't sell it, and we never contact your customers.
Who this covers
- Caterers (“you”), the business owners who sign up.
- Your staff, who use the staff view on their phones.
- Your customers, whose details you add or bring in from Square. We hold their information on your behalf; you decide what goes in and what comes out.
What we store
- Your business name, address, time zone and settings.
- Your menu, stations, and the sizes and prices of your dishes.
- Your customers: names, companies, phone numbers, emails and addresses.
- Your jobs: dates, times, delivery addresses, what was ordered, notes, and invoice status.
- Your staff: first names, roles, phone numbers if you add them, and PINs. PINs are stored scrambled (hashed), so no one can read them back, including us.
- What your staff tick off on their prep lists and deliveries, and when.
- If you join the waitlist: your email and, if you give it, your business name. We use them only to tell you when sign-up opens, and delete them if you ask.
Services we use
Some features send information to other companies so they can do their part:
- Square, if you connect it: we read your menu, prices and customers, and create invoices in your Square account. Your Square sign-in stays with Square; we keep an access key they give us, stored encrypted. Square's own privacy policy covers what happens in Square.
- Anthropic (Claude), for voice and typed order entry: the words of the order, your menu and your customer list are sent to turn what you said into a job. Anthropic doesn't use this to train its models.
- Map services (currently OpenStreetMap), for delivery routes: delivery addresses and your kitchen address are sent to find where they are and how long the drives take.
We don't sell or rent anyone's information, and we don't use it for advertising.
Your customers
Soustation never emails, texts or calls your customers on its own. An invoice only goes out when you press send, and it's sent by Square. If one of your customers asks what you hold about them, you can see and change it on your Customers page, or ask us for help.
Cookies and phones
We use one cookie to keep you signed in (up to 30 days) and one to keep your staff signed in on their phones (you choose how often they re-enter the PIN). There are no tracking or advertising cookies. Staff phones keep a copy of today's prep list so it works without signal, and hold any ticks made offline until they reconnect.
How long we keep it
We keep your information while your account is open so your history and “same as last time” suggestions work. If you close your account, we delete your business's information within 30 days, except anything we must keep by law. Invoices and payments in Square stay in your Square account.
Keeping it safe
Connections are encrypted (HTTPS), access keys are encrypted, and every business's information is kept separate so one caterer can never see another's. If something ever goes wrong that affects your information, we'll tell you promptly.
Your choices
- See and change your information in the app at any time.
- Disconnect Square from Settings, or from your Square dashboard.
- Ask us for a copy of your information, or to delete it.
Children
Soustation is for businesses and isn't meant for anyone under 16.
Changes
If we change this policy in a way that matters, we'll tell you in the app before it takes effect.
